Plans Overview

MagicMap offers three base plans: Free, Solo, and Team; plus an optional Michi AI add-on. Each plan is designed to match a different stage of your compliance mapping practice, from getting started as a solo practitioner to running a collaborative team workspace. This article covers everything you need to choose the right plan, understand what is included, and know what changes when you upgrade or downgrade.

Plan Comparison

* Team plan base price includes 3 seats. Additional seats are $5/month or $50/year each, billed pro-rata immediately.

Free Plan

The Free plan is the starting point without credit card required, and no time limit.

Best for: individuals who are new to MagicMap, want to explore the platform before committing, or have straightforward compliance mapping needs that do not require Excel/Word export or advanced map modes.

What you get:

• Unlimited maps and units: no artificial cap on what you can create
• Basic mode maps: one unit per map, content rows mapped in a single list
• PDF export: download any map as a PDF at any time
• 2 free AI operations (lifetime): try Smart Import or Smart Grouping twice before deciding on the Michi AI add-on

What you do not get:

• Excel or Word export
• Group and Cluster map modes
• Custom branding on exports
• The Migration Tool
• Collaborators or team access

Note: The Free plan is the floor, if you cancel a paid plan, your workspace returns to Free and all your maps, folders, and templates are preserved. Nothing is deleted.

Solo Plan

The Solo plan is for individual compliance professionals who need the full feature set without a team.

Best for: solo RTO compliance managers, freelance compliance consultants, and curriculum developers who map independently and need Excel/Word export and advanced map modes.

Monthly: $15/month | Annual: $150/year (saves $30/year)

What you get, in addition to Free:

• Excel and Word export: produce audit-ready documents in your client's preferred format
• Group mode: organise mapped content within a unit into named logical sections
• Cluster mode: map multiple TGA units together in a single map for qualification-level evidence
• Custom branding on exports: add your organisation's logo and colours to exported maps
• Migration Tool: update existing maps when TGA releases a revised version of a unit
• Eligibility for the Michi AI add-on and the 7-day free trial

Note: Solo supports one user only. If you need to bring in team members, upgrade to Team.

Team Plan

The Team plan adds multi-user collaboration to the full Solo feature set. It is built for compliance teams and RTOs that have more than one person contributing to mapping work.

Best for: RTO compliance teams, training organisations with multiple curriculum developers, and compliance consultants managing a team of mappers.

Monthly: $30/month base + $5/seat | Annual: $300/year base + $50/seat

Base includes 3 seats (minimum - the base seat count cannot be reduced below 3). Additional seats are billed pro-rata immediately when purchased.

What you get, in addition to Solo:

• Multi-user collaboration: Collaborators share access to all maps, folders, and TGA Library data in the workspace
• Seat management: add and remove seats as your team changes

Note: The Workspace Owner manages seats, billing, and plan settings. Collaborators can create, edit, and export maps but cannot access billing or workspace settings.

Michi AI Add-On

The Michi AI add-on is an optional AI assistant subscription available to Solo and Team plan workspaces.

Monthly: $29/month | Annual: $290/year (saves $58/year)

What it unlocks:

• Smart Import: upload your existing learning materials or mapping files and Michi automatically maps your content against TGA elements and performance criteria
• Smart Grouping: Michi analyses your mapped content and organises it into logical groups automatically
• Unlimited AI operations: every Smart Import or Smart Grouping run uses one AI operation; the add-on removes any limit

Free AI operations: Every workspace, include Free plan workspaces, receives 2 free lifetime AI operations. These never reset and are not affected by plan changes. They let you trial Smart Import and Smart Grouping before committing to the add-on.

Activating Michi AI:

1. Open the user menu (bottom-left) and click Subscription
2. Under Add-Ons, toggle on Michi AI
3. Confirm at Stripe, Michi is available immediately

Cancelling Michi AI: Cancellation takes effect at your next renewal date, not immediately. Smart Import and Smart Grouping remain available until then. Your existing mapped content is never deleted when Michi is cancelled.

Note: Activating the Michi AI add-on during a 7-day trial ends the trial immediately and initiates billing for both the base plan and the add-on.

Billing: Monthly vs Annual

All paid plans and the Michi AI add-on are available on both monthly and annual billing.

Annual billing saves 16.7% on every paid plan - equivalent to 2 months free per year.

Billing interval is locked when on a paid plan. If you are on monthly billing, plan upgrades and downgrades stay on monthly. If you are on annual, they stay on annual. To switch billing interval, cancel at renewal and re-subscribe on the new interval.

The 7-Day Free Trial

Solo and Team plans include a full-featured 7-day free trial, one per workspace, never repeatable.

How it works:

1. Select Solo or Team during sign-up, or click Try Now in your Subscription settings
2. Enter your card details at Stripe, you are not charged until the trial ends
3. All plan features are available immediately, including Group and Cluster modes, Excel/Word export, and branding
4. At day 7, your card is charged automatically for the first billing period

What to know:

• The trial is one per workspace once used, it cannot be repeated, even if you cancel and rejoin
• Purchasing the Michi AI add-on during a trial ends the trial immediately and initiates billing for both the base plan and the add-on
• Purchasing additional seats on a Team trial also ends the trial immediately
• Cancelling during the trial returns the workspace to the Free plan at no charge — maps created during the trial are fully preserved in Basic view
• Group and Cluster mode maps created during the trial remain visible in read-only view on Free — no content is lost

Upgrading and Downgrading

Upgrading

Upgrades take effect immediately. A pro-rata charge is calculated for the remaining days in your current billing period.

Free to Solo or Team:

1. Open the user menu and click Subscription
2. Select your new plan and billing interval
3. Enter payment details at Stripe
4. New features are available immediately

Solo to Team:

1. Open the user menu and click Subscription
2. Click Upgrade to Team
3. Your billing interval is preserved (monthly stays monthly, annual stays annual)
4. A pro-rata charge applies for the remaining billing period
5. Collaborator invitations are available immediately after upgrade

Adding seats (Team only): Seats are billed pro-rata immediately when purchased. New seats are available instantly for inviting Collaborators.

Downgrading

Downgrades are scheduled: they take effect at your next renewal date, not immediately. Your current plan's features remain active until renewal.

Team to Solo:

• Scheduled for your next renewal
• Collaborators retain access until renewal - plan their offboarding accordingly
• At renewal: seat count resets to 1, Collaborators lose access, Team features remain with Solo

Solo or Team to Free:

• Cancel your subscription in Subscription settings
• Your plan remains active until the end of the current billing period
• At period end: workspace moves to Free plan
• Excel and Word export is blocked (existing PDF downloads remain accessible)
• Group and Cluster mode maps are locked in read-only view without content is deleted
• Branding settings are disabled, previously exported files retain their branding

Note: Cancellation never deletes your maps, folders, or templates. Downgrading affects what you can do with your content, not whether you can access it.

Choosing the Right Plan

When in doubt, start with the Free plan and try a 7-day Solo or Team trial when you are ready to explore paid features. The trial gives you full access to all plan features with no upfront risk.

MagicMap's plan structure is designed to grow with your compliance practice. There is no penalty for starting on Free, and all your work is preserved when you move between plans. The 7-day trial gives you a genuine no-risk window to evaluate paid features before committing, use it when you are ready to scale your mapping operation.
